How we collect, use and look after your personal information.

This notice explains what personal information we collect through this website, why, and what your rights are. It sits alongside our full Privacy & Data Protection Policy on our Policies page.

Who we are

Little Sendsations is a registered charity in England and Wales (charity number 1206407). We are the “controller” of the personal information described here, which means we decide how it’s used and we’re responsible for looking after it. Our address is 43 Ripley Close, Spennymoor, County Durham, DL16 7FJ. You can contact us about anything in this notice at hello@littlesendsations.org.

What we collect and why

When you… We collect Why, and our lawful basis
send us a message Your name, email address, the topic and your message. To reply to you. Legitimate interests — answering people who contact us.
sign up to our newsletter Your email address. To send you news about our sessions, podcast and community. Consent — you can unsubscribe at any time.
buy something or donate Your name, billing and delivery address, email, phone number (optional), what you ordered or gave, and any notes you add. To take payment, fulfil your order and keep proper accounts. Contract, and legal obligation for our financial records.
create an account Your name, email address, password (stored encrypted) and saved addresses. So you can track orders and check out faster. Contract.
book an event Bookings are made through Bookwhen, who share the booking details with us as the organiser. To run the session and contact you about it. Contract.

We don’t collect card details — payments are handled by our payment provider. We don’t use analytics or advertising tracking on this website (see our Cookies Policy).

Information about your child

Sometimes you might tell us about your child’s needs — for example in a message or when booking, so we can make a session accessible. Information about health or disability is “special category” data, and we treat it with extra care. We only use it to support your child at our activities, we only share it with the people running the session, and we rely on your explicit consent when you give it to us. You can ask us to delete it at any time.

Who we share it with

We never sell your information or share it for marketing. We only share it with organisations that help us run the charity and this website, under agreements that protect it:

  • our website hosting provider, which stores the website and its orders;
  • our payment provider, which processes payments securely;
  • Bookwhen, for event bookings;
  • our email provider, where messages and sign-ups arrive;
  • tools we may connect our forms to — for example Zapier, to add newsletter sign-ups to our mailing list;
  • Acast, which provides the podcast player on our podcast page.

We’ll also share information if the law requires it — for example to keep a child safe, in line with our Safeguarding & Child Protection Policy. Some of these providers may store data outside the UK; when they do, it’s protected by approved safeguards such as the UK International Data Transfer Agreement.

How long we keep it

  • Messages: as long as we need to deal with your enquiry, and no more than two years after that.
  • Newsletter: until you unsubscribe.
  • Orders and donations: six years after the end of the financial year they were made in, as required for our accounts.
  • Accounts: until you ask us to close your account (order records are then kept as above).
  • Information about your child: only while it’s needed to support them at our activities.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct anything that’s wrong;
  • ask us to delete your information, or to stop or limit how we use it;
  • object to us using your information based on our legitimate interests;
  • ask for your information in a format you can take elsewhere;
  • withdraw your consent at any time, where we rely on it — for example by unsubscribing from our newsletter.

Keeping it safe

This website uses a secure (HTTPS) connection, passwords are stored encrypted, and only the people who need your information to do their role can see it.

Complaints

If you’re unhappy with how we’ve handled your information, please tell us first at hello@littlesendsations.org so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this notice

We’ll update this page if the way we use personal information changes. Please also see our Terms and Conditions.
